We are seeking a dedicated and dependable professional to join our 10-Doctor Animal Hospital as a Practice Manager. The fundamental responsibility of the veterinary practice manager is to effectively use all available resources to provide the best possible patient care to animals treated/handled by the hospital, as well as to ensure the profitability of the practice.
Our ideal Practice Manager is responsible for all aspects of the hospital but primary focuses will be Human Resources and Office Management - specifically the administration of payroll, insurance benefits, IRA benefits, employee relations, client relations, general employment, on boarding, terminations and off boarding. The Practice Manager works directly with ownership and department supervisors to properly administer all of the above and ensure quality care for our patients, quality service for our clients, enjoyable experiences for our employees and ensure profitability for the practice. The successful candidate must have a strong attention to detail, be able to multi-task and have practical experience working in an office or hospital.
Essential Job Functions:
Specific tasks will include, but are not limited to, the following:
Administer bi-weekly payroll for approximately 60 employees.
Maintain compliance with federal, state and local employment and benefits laws and regulations.
Maintain the highest level of confidentiality.
Keep employee files up-to-date for all employees/ex-employees with all status/compensation changes including: new hires, job transfers/reclassifications, promotions/demotions, full-time/part-time employment changes, and terminations/separations.
Answer employee questions regarding recruiting, benefits, compensation, training, and employee relations.
Conduct exit interviews and make recommendations to the management team for corrective action and continuous improvement.
Review complex employee relation cases with Ownership and Legal Team
Coach, counsel and guide managers on proper execution of employee disciplinary actions.
Participate in the management of compensation functions, including but not limited to, requests for salary increases, bonuses, manage the hospital compensation spreadsheet, and other compensation related projects and activities.
Collect and present information to defend/support unemployment/Workers Compensation hearings.
Assist with delivery and preparation of new hire orientations
Rectify client complaints and financial issues with clients
Create and update job descriptions
Oversee the employee termination process, including but not limited to termination of accesses, and preparing and sending separation/termination documents.
Ensure the HR Documents in the Employee Handbook are up to date.
Draft communication materials for company-wide distribution.
